Product Spotlight - Call Coordinator

We understand that effective time management lies at the heart of any successful business. Maintaining relationships with your current customers while strategically cultivating new business can be a time consuming endeavor.

 

With that in mind, we created Arch Call Coordinator Service to help maximize your valuable time and ensure that you immediately follow-up on every hot lead.

 

Arch Call Coordinator Service’s (CCS) trained operators call each lead that has accessed an extension number on your Powerline™ Interactive Voice Response System. Using information you provide, the operators use a series of scripted questions to qualify buyers, list available properties, determine whether or not the prospect has been pre-qualified by a mortgage professional and obtain a referral. We offer scripts for Realtors® as well as originators.  Contact an Arch representative to review the available scripts.

 

Operators will generally respond to leads within fifteen minutes of the originating call. If no contact is made, the CCS operator will call back in one-hour intervals, leaving a voice mail message on the third attempt.

 

Once CCS operators have qualified your latest leads, you receive instant notification of the results, including indications of your hottest leads. By identifying potential home buyers, you also have the lead on a potential seller. This often affords you the opportunity of being the first agent to list their home.

 

With Powerline, you are able to instantly follow-up with your hottest leads. CCS labels a lead as “hot” if they answer “yes” to any of the following questions:

 

  • Would you like more information on the property?
  • Do you have a home to sell but are not represented by an agent?
  • Have you yet to be pre-qualified by a lender?

 

You also have the ability to easily manage your CCS settings to suit your needs. Whether you choose to employ CCS only on your days off or simply want to cap your monthly CCS expenditures at set limits, all specifications can be made  on our website at the click of a button.

•  2nd and 3rd call on one-hour intervals (if the 2nd or 3rd hour interval is outside of the calling time zones, the 2nd or 3rd attempt will be made the following day)

  • No setup fee
  • $10 monthly service fee

 

Call Charges

$0 per call if:

  • a phone record is not dial-able
  • the respondent was a real estate agent
  • no contact is made or message left after three calls
  • the caller refuses to answer any of the operator’s questions
  • the call came from a business and the operator was not able to make contact with the original caller

 

$5 per call if:

  • after three failed attempts at contact, a voice mail is left on your behalf
  • the operator successfully engages the caller in answering first scripted question

Web Portal Updates

With recent updates to Arch’s web portal, you are able to quickly and easily manage your account. Just point and click.

 

Using your Login ID and Password, you can utilize all of the following features, and many more. 

 

To access your account:

  1. Go to www.archtelecom.com
  2. Click on the top toolbar “Customer Center”
  3. Click on “Online Reports/Account”
  4. Enter your Powerline™ # in the Login ID
  5. Enter your Password

 

 

Update Your Credit Card Information

At any time, you have the ability to go online and change or update your credit card information.

 

  • Log on to your account thru the Arch homepage
  • Click on the Billing tab
  • Click Change Credit Card
  • Click Save Changes

 

Update Your Billing Information

Have you relocated recently? Require your statements to be sent to a new address? Change your contact and billing information on the web at any time.

 

  • Log on to your account thru the Arch homepage
  • Click on the Home tab
  • Edit your account information
  • Click Save

 

Password and Login Recovery

Want to manage your account online but have misplaced your password? With just the click of your mouse, you can request a link to be sent to you via email. This link will allow you to re-set your password. Once you receive the newly-assigned password, log back on to the portal and change the password to one of your choosing.

 

  • Log on to your account thru the Arch homepage, leaving the Password field blank
  • You will be re-directed to the Customer Portal
  • Click Forgot Password
  • Enter your contact email address in the field provided
  • Your new password will be emailed to you in minutes
  • Assign a password of your choosing

Ask Arch

I have trouble keeping track of all of my listings. Can I get a list of what extensions I’ve recorded? Can I listen to my recordings online?

 

You can easily find a complete list of your extensions by going to our website. Once you have logged in with your account information, click on the Powerline™ tab. In the chart at the bottom of the page, you will see a comprehensive list of each of your listings and extensions in use. If you have recorded a greeting for an extension, you will see a link in the Greeting column. Click the link and you will be able to listen to the greeting online.

 

 

I have been getting my listing notifications sent to my email, but I want to start receiving them via text messages to my cell phone. Can I set that up myself?

 

You certainly can, Elizabeth. Just log into your account on the Arch homepage using your toll-free number in the Login ID space provided and your password. Then, click on the “Notifications” tab. Use the delete key to remove your current notification device. Enter the number to which you would like to have notifications sent to you by text. We have even provided a list of the most common cellular carriers’ texting destinations in order to make the process quick and easy. Once you save your new notification settings, just sit back and watch the messages start rolling in.

 

 

I don’t have the time to set up my own listing recordings. And, to be honest, I would rather have someone else’s voice on the recordings. Is there a way to get my listings recorded professionally? If so, what would that service cost?

We understand many people do not want to take the time to record their own listings and often times have a bit of trepidation about using their own voices for recordings.  

 

That's why we offer Arch Professional Recording Services. We use your proprietary information to develop a professional and precise script for each of your recordings and then have your listings recorded by experienced, professional voice talent (male or female). We'll even set up your first recording for FREE.
