Master Greeting Set Up Marketing
Edge ME Only
Marketing Edge SE users please skip to "Marketing Edge
SE Recording Set Up." Master Greeting set up is necessary
only for Marketing Edge ME systems. The Master Greeting is
what the caller will hear upon connection to your 800 number.
You should not present your entire offer at this time; this
greeting should serve as an introduction and a prelude to
your main offer. You should prompt the caller to enter an
extension in your main greeting. The default time limit for
the Main Greeting is 5 minutes. If you need that time limit
extended please call customer service. It is recommended that
your extension number(s) are printed in your marketing and
advertising materials along with your 800 number. It is not
recommended that your Main Greeting prompt the caller with
a specific extension number. Doing so will enable you to track
your different ad mediums or to provide different offers to
your callers without having them dial a different 800 number.

to provide the caller with a different recording/offer. If
you are using the extension to track an ad medium response
there is no need to re-record the entire verbal recording.
You can copy the recording by creating a "shadow"
extension. If you are using the extension to present a different
recording/offer, create a "regular IVR" extension.
This is a new recording so that you may have multiple offers
on multiple extensions without having to place each of those
offers on a separate Marketing Edge 800 number. Upon completion
of the extension recording playback, the caller is presented
with a survey.

email or fax. If you are requesting a report via fax, you
must use a fax only system. Voice/fax systems will not work.
Fax reports do incur 800 charges for the time the fax is being
sent. Web and scheduled email reports are free. We encourage
you to take advantage of the real time web reporting because
in addition to being free, the Web enables you view customized
reports. The transcription (if performed by Arch) will be
posted, you can graphically track your extensions when using
them as an ad source and download the information via a Comma
Separated Variable (CSV) format so you may import to any spread

II. FAX BROADCAST INSTRUCTIONS
Set up Your Fax Broadcast List
Broadcast Lists operate like a mailing list for your faxes.
They contain a list of people that you want to receive your
broadcasts. You may have as many lists as you need. For example,
a company might have one list for your important customers,
one for all salespeople, and another for sales managers. Each
time you broadcast a fax, you can choose which broadcast list(s)
to which you want the fax sent. When you create a broadcast
list you will assign to it a group number. You will use a
broadcast list 's group number whenever you want to send the
list a fax. Your system may have an unlimited number of lists.
You load your lists into the Arch system by sending a tab
or comma-delimited ASCii file via email to the special email
address which is loadlist@marketouchmedia.com.
The first step is getting your data on your computer into
a file of the appropriate format. The file needs to be in
tab or comma-delimited plain ASCii format, with one destination
per line. If your data is already in a contact management
or database system, you may be able use that system's "export"
feature to generate a tab or comma-delimited ASCII file. You
should export at least the fax number, and optionally a contact
name and/or company name for each contact.
We are somewhat flexible as to the format of the data (as
long as it is comma-delimited/ASCii), but keep in mind the
following:
- We look at all fields of each record
- We automatically strip out any punctuation in the fax
number
- Each field can optionally be surrounded with single or
double quotes
- The first field that has 10 numeric digits is interpreted
as the fax number (the others are the contact or company
name)
- We cannot broadcast to 800, 888, 900, or international
numbers (except Canada)
- Here's what a line might look like:
- "714-555-8756", "Joe Sanders", "ACME
Plumbing"
After you have your file ready, the second step is to email
it to us. A dedicated email address is set up to receive your
fax broadcast lists. The address is loadlist@marketouchmedia.com.
A program will pick up the email and automatically load it,
and send a reply confirmation message (don't try to use your
list until you receive the confirmation).
There is no need to put an email subject, as the subject
field is ignored. In the body of the message, include the
following information so that we can properly load your list
(of course, replace the numbers shown below with the values
appropriate for you):
Mailbox:8005551212
Password:1234
Group:22
Your Mailbox is your 800 number in which the Fax Broadcast
system exists. The Password is the same one you use over the
phone. The Group is a number that you choose for this list
in order to keep it separate from your other lists. If you
use a group number that you already used in the past, the
previous contents of the list will be erased as the new list
is loaded. You will use this Group number later when you queue
a broadcast. It is important that you include all the above
information including the colons (and not include any extra
information) in the exact same format as the sample.
After you have entered the above information in the body
of the email message, use the file attachment feature of your
email program to attach the comma-delimited ASCII file to
the message.
Predictability of Fax Broadcast
Charges
In an effort to keep the cost of your fax broadcasts low,
transmission of broadcasts is restricted to 9600 bps. This
can only be raised by customer request through an Arch representative.
There are three major factors that influence the cost of a
fax broadcast. Please note that all three of these factors
are controlled by you, the customer. They are:
oQuality of the list
oComplexity of the document
oWhether it is loaded in standard or fine mode. Fine mode
will always result in a higher fax broadcast cost.
Loading a Fax Document Using
a Fax Machine
When sending a document using a fax machine, you should use
the highest quality original possible. Use the following procedure
from your fax machine to load your document:
Load all pages of your document into the fax machine.
Set your fax machine to standard mode for text only documents.
Standard mode will transmit at the most economical transmission.
If your fax includes graphics, it may be necessary to set
your fax machine to fine mode. Although setting your machine
to fine mode will give you a higher resolution necessary for
clear graphics it will also slow the transmission rate, substantially
increasing the cost of your fax broadcast. Before changing
your fax setting to fine mode, we recommend that you do a
"test fax" to make sure the change is necessary.
If you have any questions, please call customer service at
800-882-9155.
- Using the telephone built into your fax machine, call
800-247-8853.
- When prompted for your mailbox number, enter your 10 digit
800 number or your 7 digit mailbox number.
- When the greeting plays, press * followed by your password.
- Press 6 - Fax Broadcast
- Press 4 - Load a Fax Document
- Press 1 - Confirm Your Choice.
- Press the START button on your fax machine. The document
will now be transmitted into the Arch system.
When the transmission is successfully completed, your fax
document will be ready to broadcast-proceed to "Starting
your Broadcast". If the transmission fails for any reason,
then the fax has not been loaded and the previous fax document
(if any) that you had loaded into your broadcast mailbox will
be deleted.
Loading a Fax Document Using
a Computer Modem
To load your fax document using a fax modem, use the following
procedure:
- Create your document and send it to the fax software using
the procedure described by your fax software's instructions.
The procedure is usually to select the fax modem as your
current printer and printing the document
- Write down all of the digits that you'll need to enter
in the fax software. Refer to the instructions for "Loading
a Fax Document Using a Fax Machine."
- Once you know all of the digits you need to enter and
their order, combine them all into one sequence of numbers,
using five commas to specify delays (each comma usually
inserts a two second delay) and enter them into the appropriate
fields in your fax software. For example, if your mailbox
number is 1023456 and your password is 556677, you would
tell the fax software that you want to dial the following
phone number:
18002478853,,,,1023456*556677641.
The last three digits following the password are the command
prompts to load a fax and confirm (see section "Loading
a Fax Document Using a Fax Machine.")
Requesting a Test Fax
Before you send your broadcast, you may want to request a
test fax. A test fax will send a copy of your document to
your fax machine so you can verify that it was loaded properly.
It is especially wise to do this if you are going to broadcast
your fax to a large number of people.
From the Main Menu of your mailbox, use the following procedure:
- Press 6 - Fax Broadcast
- Press 5 - Request a test fax
- Enter the 10-digit telephone number for your fax machine.
- Press 1 to confirm the number.
Your document will now be sent to your fax machine. If there
are changes you wish to make to the document, repeat the loading
procedure for loading a fax document by fax machine or computer
modem.
Starting Your Broadcast
Once you have loaded your document, you can start your broadcast.
Follow this procedure from the Main Menu of your mailbox:
- Press 6 - Fax Broadcast
- Press 1 - Queue a broadcast
- Enter desired group number followed by # and follow the
voice prompts to complete.
Canceling a Broadcast
- Press 6 - Fax Broadcast
- Press 3 - Cancel a Broadcast
- Enter Broadcast # to be cancelled
Retrieving Web Reports via www.marketouchmedia.com
We strongly recommend that you visit our Fax Broadcast Report
found under Online Report Center on Marketouchmedia's website
at http://www.marketouchmedia.com. This interface allows you
to view real-time details of any loaded group, broadcast or
message. You can download the details to export to a file
for loading into a database, spreadsheet, etc. Summary charts,
breaking down your results, are also available for completed
broadcasts. There is no charge to view mailbox activity or
download reports on the interactive Arch website.
Requesting a Fax Delivery Report
A delivery report will give you a detailed list of all of
the destinations of your broadcast, and the delivery status
of each broadcast. For example, you will be able to see if
some destinations were not delivered because of persistent
busy signals. Also, for those faxes delivered, you will see
the date and time of actual delivery.
To request a delivery report for your
most recent broadcast, use the following procedure from the
Main Menu:
- Press 6 - Fax Broadcast
- Press 7 - Request a delivery report
- Press 1 for a delivery report of your most recent broadcast.
- Enter the 10-digit phone number of your fax machine.
Your delivery report will be queued and delivered to your
